Typical organizer workflow

A practical checklist from course preparation to race-day updates.

Use this checklist for each race distance. Keep one existing SummitGPX route as the official source so its shared link remains useful throughout planning.

  1. Prepare the course. Export the complete intended route. For GPX files, run Health Check before importing if the source is uncertain.
  2. Create the event. Add its name, dates and location, then import the route.
  3. Review the route. Check the line, direction, start/finish, metrics and elevation profile. Wait for any background processing.
  4. Add course information. Create or review checkpoints, aid stations, cut-off details and GPS/watch settings. Check the leg distances and ascent in Checkpoint breakdown.
  5. Prepare downloads. Test the latest GPX and other formats. Add split points if section files are useful.
  6. Check presentation. Set route units, visibility and any branding. Open the public link as a signed-out visitor.
  7. Share. Publish the route link, QR code or embed in your race information.
  8. Handle changes. Update the existing route, inspect checkpoints and downloads again, then prepare a route update email.
  9. Recheck before race day. Scan the printed QR code, test the website embed on a phone and ask runners to download and transfer the latest file to their devices.

Final pre-race check

Confirm the final course, visibility, checkpoints, cut-off information, units and file downloads. Review version notes and send a test of any runner update email before the final send. Files on runners’ devices need replacing after a course change.

Example: a short diversion around closed woodland should be applied to the existing route, checked against the affected aid station, and described in an update asking runners to replace their previous download.
