Route update emails

Prepare recipients, review a draft and track a deliberate route update send.

Use route update emails after checking a course change. Recipients belong to one route; they are not automatically collected from people who view or download it.

Open Route Updates

Open the event, find the route and choose Route Updates. This area contains recipients, CSV imports, drafts and delivery history.

Prepare the recipient list

  1. Download the recipient CSV template and enter first name, last name and email. Email is required.
  2. Choose Import CSV and select Merge or Replace.
  3. Review the preview, invalid rows, additions, updates and removals before confirming.

Merge adds new recipients and updates matches while keeping other recipients. Replace removes current recipients missing from the CSV, with an extra confirmation when needed. Duplicate active email addresses are not added twice. Individual recipients can also be managed in this area.

Create and review a draft

  1. Create a draft from Route Update History.
  2. Enter a subject, choose Standard, Important or Critical, and write the change notes. The draft is tied to the current route version.
  3. Save the draft, then review desktop, mobile and plain-text previews. Check the route name, version and links.
  4. Use Send Test Email to check the result at your own authenticated email address.
  5. Mark the reviewed draft Ready. This still sends nothing to the route recipients.

Example: “C2–C3 woodland diversion: download the new GPX and replace the file on your watch before Saturday. The aid station remains at C3.”

Send and track delivery

Choose Send Route Update and confirm when you are ready. SummitGPX fixes a snapshot of the recipient list for that delivery job. Queued or sent updates cannot be edited; later list changes do not rewrite that job.

Open Job Details to inspect progress, pending recipients and delivery outcomes. Temporary failures may retry; hard bounces or complaints may suppress an address. A sent status alone does not prove that a runner read the message. Deleting the current recipient list does not remove past delivery records.
